Ordering app for Tally and ERP users: add-on or full system?

3 November 2026 · 8 min read · Glint Cloudshops, Bengaluru

If you already use Tally or another accounting or ERP system, you do not need to replace it to take orders digitally. Add an ordering layer on top: either a simple order-booking add-on app that pushes salesman orders into your accounts, or a full ordering system that runs customer ordering, pricing, delivery and collections and syncs invoices back. The add-on is enough when your main need is getting salesman orders into billing; a full system pays off once customers order directly, schemes and credit get complicated, or delivery and collections need tracking.

This guide compares the two options, explains when the simpler add-on is the right choice, and lists the signs that you have outgrown it. It applies whether you bill in Tally, another accounting package or an ERP, and whether your tax invoices are GST in India, VAT in the Gulf, UK and Europe, or sales tax elsewhere.

The key point: keep your accounting software

Many distributors assume going digital means moving off Tally or their ERP. It usually does not. Your accounting system is good at what it was built for: ledgers, tax returns, purchase bills and statutory reports. Your accountant knows it, and your history lives in it.

What accounting software is not built for is the selling side: retailers ordering on their phones, salesmen on a beat, drivers settling a van, or reminders on WhatsApp. An ordering layer fills that gap. Orders, deliveries and payments happen there, and invoices, receipts and returns flow into your accounts. No rip-and-replace, and no retraining your accountant.

Option 1: an order-booking add-on app

An order-booking add-on is a mobile app that connects to your accounting software. It pulls your items, prices, customers and sometimes stock and outstanding, so a salesman can book an order at the shop. The order lands in your accounts as a sales order or invoice draft.

What it does well

  • Removes retyping. Salesman orders no longer arrive as phone calls or paper slips.
  • Quick to start. Because it reads masters from your accounts, there is little to set up.
  • Low cost for a small team. With a few salesmen, a per-device fee is often the cheapest way to start, and it suits a short trial.

Where it stops

  • Customers cannot easily order themselves. Most add-ons are built for salesmen, not retailers ordering at night.
  • Pricing is only as rich as your accounts. Customer schemes, slabs and brand offers often still need manual checks.
  • Nothing after the order. Delivery routes, van loading, proof of delivery and field collections sit outside the app.
  • The bill grows with the team. Per-user or per-device pricing rises in a straight line with every salesman, driver and office user.

Option 2: a full ordering system that syncs with your accounts

A full ordering system (often called a distributor management system) runs the whole cycle from order to collection, and treats your accounting software as the place where the books are kept.

What it adds

  • Customer ordering app in your brand. Retailers, chemists, dealers and institutions order at their own prices, with one-tap reorder.
  • Salesman order booking with beat plans. Field staff follow a route, record visits and book orders.
  • Pricing, schemes and credit. Prices, slabs and schemes apply automatically; credit limits are checked first.
  • Stock and delivery. Stock across warehouses with batch and expiry, route-planned delivery, van sales with route accounting, and proof of delivery.
  • Collections and quotations. Payments recorded at the door, WhatsApp reminders, and quotes that convert into orders.

Why owning it changes the economics

If the system is built for you and runs in your own cloud account, you pay a one-time cost to build and brand it, then a running cost that stays low as you grow. There are no per-user licence fees, so adding a salesman or driver costs nothing extra in licences.

Ownership also protects what you learn. Your pricing logic, scheme rules, customer history and every improvement stay in your system, even if a vendor changes its terms or you switch. And when retailers order from an app with your name on it and get reorder reminders from you, the relationship stays with you.

A foundation for AI

AI agents can only work on data that has been captured. When your own apps record every order, visit, price and payment in one place, you have clean, connected data that you own: the base AI needs to take orders from messages, suggest reorders and decide which payments to chase. A system you own can also expose secure APIs over your sales analytics, so your own AI agents and tools can read it and act. Data spread across chats, spreadsheets and separate add-ons, or locked inside a platform, is much harder to use.

What it costs you

More setup. Someone has to load your real price lists and schemes, map customers, and agree how delivery and collections will work. Your team has to learn new apps, and the upfront build cost is real.

When the add-on app is enough

The simpler add-on is often the better choice if most of these are true:

  • Almost all orders come through a few salesmen, not from customers directly.
  • Your team is small and not expected to grow soon, so per-device fees stay modest.
  • You have one or a few price lists with simple discounts.
  • You deliver through a transporter or customers collect.
  • Your main pain is retyping orders, and nothing else is breaking.

In that situation, an add-on solves the real problem quickly. Start there, and revisit when the business changes.

Signs you have outgrown the add-on

  • Customers want to order themselves, messaging orders on WhatsApp at odd hours.
  • Schemes are handled on paper, and mistakes cost margin.
  • Credit overruns: orders get billed to customers already over their limit.
  • Delivery is a black box until the driver is back.
  • Seat fees keep climbing with each new salesman or driver.
  • You hire people just to coordinate. See the warning signs you have outgrown WhatsApp and Excel.

If several of these sound familiar, a full ordering system will likely save more than it costs to set up.

What to check before choosing

  1. Sync: what flows each way (items, prices, customers, stock, invoices, receipts, returns) and how often.
  2. Tax invoices: they must follow your country's GST, VAT or sales tax rules.
  3. Your real pricing: test with your most complicated customer and scheme.
  4. Total cost as you grow: work out the bill for today's team and the team you expect.
  5. Data ownership: where your data lives, and whether it can run in your own cloud account.

Frequently asked questions

Do I need to replace Tally to use an ordering app?

No. Distributors can keep Tally or their accounting software/ERP for ledgers, tax returns and reports, and add an ordering layer on top. Orders, deliveries and payments are captured in the ordering app, and tax invoices, receipts and returns sync back into the accounts.

What is the difference between an order-booking add-on and a full ordering system?

An order-booking add-on lets salesmen book orders that flow into your accounting software. A full ordering system also gives customers a branded ordering app, applies customer-wise prices, schemes and credit limits, plans deliveries and van sales, records proof of delivery and collections, and syncs tax invoices to your accounts.

When is a simple order-booking add-on app enough?

An add-on is enough when a small team of salesmen takes nearly all orders, pricing is simple, delivery is handled by a transporter or customer pickup, and the main problem is retyping orders into billing. For a very small team or a short trial, a per-device add-on is often the cheapest option.

How does the cost of a per-user ordering app compare with owning your own system?

Per-user or per-device apps charge for every salesman, driver and office user, so the bill grows in a straight line as the team grows. A system you own has a one-time build and branding cost, then running cost that stays low as you grow, with no per-user licence fees.

Why does a branded ordering app help keep customers?

When retailers and dealers order from an app with your name on it, at their own prices, and receive reorder reminders from you, the relationship stays with you. Your pricing logic, customer history and process improvements also stay in a system you own instead of a vendor's product.
